Patient Portal Terms and Conditions

1. Introduction
Welcome to the Patient Portal (“Portal”) provided by New England PET Imaging System. The Portal is a secure online service that allows patients to access portions of their imaging records and communicate electronically with our office.
By accessing or using the Portal, you agree to comply with and be bound by these Terms and Conditions. If you do not agree, please do not use the Portal.
2. Image-Specific Portal Services
The Portal may allow you to:
- View imaging reports
- Access visit information
- Request appointments for imaging services
- Send secure, non-urgent messages
- Update demographic and contact information
- Complete forms electronically (for example: Consent, Patient Disclosure & Authorization, PETCT Questionnaire, Medical Record Release)
- View billing statements
Actual diagnostic images may be available through a separate secure image-sharing platform (Powershare), or disc, when applicable.
3. Not For Emergencies
The Portal must not be used for urgent or emergency medical concerns.
If you are experiencing a medical emergency, call 911 immediately.
For urgent imaging-related matters, contact our office directly by telephone.
4. Communication and Response Times
Portal messages are reviewed during regular business hours.
Responses may take up to 24–48 business hours.
Portal communication does not replace in-person evaluation, or direct phone communication when clinically necessary.
5. HIPAA Compliance and Privacy
We are committed to protecting your Protected Health Information (PHI) in accordance with the Health Insurance Portability and Accountability Act of 1996 (HIPAA), the HIPAA Privacy Rule, Security Rule, and applicable state laws.
The Portal uses secure encryption and authentication safeguards. However, no electronic system can guarantee absolute security.
You are responsible for safeguarding your login credentials and accessing the Portal from secure devices and networks.
Your use of the Portal is subject to our Notice of Privacy Practices, which explains how your medical information may be used and disclosed and how you may access your information.
6. 21st Century Cures Act Compliance
In accordance with the 21st Century Cures Act and federal information blocking regulations, certain imaging reports and results may be made available to you as soon as they are finalized.
Results may be released before your referring provider has reviewed them. If you have questions regarding results, please contact your referring provider directly.
7. Eligibility and Account Security
You must provide accurate registration information.
You are responsible for maintaining the confidentiality of your username and password.
Notify us immediately if you believe your account has been accessed without authorization.
8. Electronic Communications Consent
By using the Portal, you consent to receive electronic communications related to:
- Appointments
- Billing notifications
- Test results
- Care reminders
- Administrative updates
You understand that electronic communications may include protected health information (PHI).
9. Proxy Access
Adult patients may authorize proxy access through written authorization.
Certain sensitive health information may be restricted in accordance with federal and state privacy laws.
10. Technical Requirements
Access requires internet connectivity, a compatible browser, and a valid email address.
We are not responsible for technical issues related to your device, software, or internet provider.
11. Suspension or Terminations
We reserve the right to suspend or terminate Portal access if these Terms are violated, if unauthorized use is suspected, or if security risks are identified.
You may discontinue Portal use at any time by contacting our office.
12. Amendments
We may modify these Terms and Conditions at any time. Updates will be posted within the Portal, and continued use constitutes acceptance of any changes.
13. Disclaimer of Warranties
The Portal is provided “as is.” We make no guarantees regarding uninterrupted access, error-free operation, or availability at all times.
14. Limitation of Liability
To the extent permitted by law, NEPET shall not be liable for damages arising from unauthorized access due to patient negligence, technical failures beyond our control, or delays in reviewing Portal communications.
